School trips during class time: the calendar restriction that changes everything

We often start by looking for VACAF aid or the Children’s Holiday Aid (AVE) in our CAF account. The reflex is good, but it faces a concrete obstacle since 2024-2025: several CAFs only grant aid if the stay falls during official school holidays. A trip organized by the college in May, during class time, therefore does not meet the criteria.

The CAF of Haut-Rhin, for example, reminds of this condition in its 2026 social action documents. This refocusing is not trivial. The majority of school trips (educational outings, discovery classes, language stays) take place precisely during school periods. The mismatch between the trip calendar and the aid calendar creates a blind spot for many families.
In practical terms, if the teacher plans a stay from Monday to Friday outside of holidays, AVE cannot be mobilized. Other levers must then be sought, which we detail below. However, a discovery class scheduled during a holiday week (some schools do this for ski trips, for example) may remain eligible, provided that the organization is VACAF certified.

CAF family quotient and ceilings: check your eligibility before any steps

The family quotient remains the central criterion. This figure, calculated from income and household composition, determines whether one falls within the scope of aid for stays. The lower the quotient, the higher the potential coverage.
The problem is that the thresholds and amounts change from one CAF to another. There is no single national scale for children’s holiday aid. Therefore, it is not possible to provide a family quotient ceiling that is valid everywhere.
What to check in your CAF account
- Your up-to-date family quotient, recalculated after each income declaration
- The presence of an AVE notification in the “My Account” space or by email
- The local conditions: minimum and maximum duration of the stay, number of stays allowed per year, age of the children concerned
If no notification appears on your account, you are not eligible for the current year.
Concrete alternatives when the CAF does not cover the school trip
In practice, many families discover that CAF aid does not apply to their situation. The stay falls during school time, the organization is not certified, or the family quotient exceeds the threshold. Other avenues, often unknown, must then be explored.
The Municipal Social Action Center (CCAS)
The CCAS of the municipality can grant a one-time aid for a school trip, even during class time. The criteria are set locally, and the request is made at the town hall. This channel works even when the CAF refuses, as it is not subject to the same calendar restrictions.
The social funds of the educational institution
Each public college and high school has a social fund intended to help families in difficulty with school-related expenses. The school trip is part of this. The request is made to the secretariat or the social worker of the institution. Its allocation remains confidential.
The Pass Colo for 11-year-old children
Since 2024, the State offers the Pass Colo, a aid specifically targeting the year when the child turns 11. The amount varies according to the family quotient, between 200 and 350 euros, deducted directly from the invoice of a certified stay. This system concerns holiday camps and not school trips strictly speaking, but it can free up family budget if the child also goes to camp during the year.
Mutuals, CSE, and ANCV vouchers
Some mutuals provide an annual allowance for children’s stays. The social and economic committees (CSE) of employers sometimes offer ANCV holiday vouchers or direct aid. Feedback varies on this point: not all CSEs fund school trips, and the conditions differ according to company agreements.
- Check with your mutual if a “school stay” or “discovery class” item exists in the coverage
- Ask your employer’s CSE if ANCV vouchers or travel supplements are available
- Inquire with parent associations, which sometimes organize sales or collections to reduce the remaining costs
Calendar and anticipation: when to start your procedures
The AVE notification from the CAF is sent to eligible families at the beginning of the year. School trips are often announced as early as the start of September for a departure in spring. This timing requires not waiting for the CAF response to explore other options.
As soon as the trip is announced, contact the CCAS and the institution’s secretariat. Social funds are allocated on an ongoing basis and the envelopes run out. Waiting until March to address this risks finding the counters closed.
The accumulation of aids remains possible in most cases: the amount of the AVE is generally calculated after deducting other possible aids (participation from the works council, aid from the town hall). In other words, one can add CCAS, social fund, CSE, and CAF aid if all conditions are met, but the CAF amount will be adjusted accordingly.
Funding a school trip rarely goes through a single window. Cross-referencing the systems, checking the criteria of your local fund, and contacting the institution as early as the first term remains the most reliable method to reduce the bill without unpleasant surprises in April.
